Terms and conditions

Terms and Conditions – Anniversary Special – Himalaya November 2027

These terms and conditions apply to the Wilderness Leadership Transformation Programme – Anniversary Special – Himalaya, taking place from 13 November to 27 November 2027.

These terms and conditions describe the agreements, obligations and responsibilities that apply to participation in the programme. Participants are requested to read these terms and conditions carefully before registering.

Organisation

The FNL Anniversary Special is organised by the Foundation for Natural Leadership (hereinafter: FNL) in collaboration with travel organisation Mandala Travel BV (Chamber of Commerce no. 90816943).

Both FNL’s terms and conditions and those of Mandala Travel apply to the programme.

  • Mandala Travel is responsible for the travel component, including transport at the destination, accommodation and other travel services. Flights that participants are required to book themselves are excluded.
  • FNL is responsible for the programme content, including the preparation, workshops, guidance and the leadership programme.
  • If provisions in the two sets of terms and conditions conflict, Mandala Travel’s terms and conditions apply to the travel component, and FNL’s terms and conditions apply to the programme content.

When registering, the participant must explicitly agree to the terms and conditions of both organisations. Participation is not possible without this agreement.

Registration

The participant registers by signing up for the programme and explicitly agreeing to the terms and conditions of FNL and Mandala Travel.

FNL confirms acceptance of the registration in writing.

No later than the 1st March 2027, FNL, in consultation with Mandala Travel, will decide whether the trip will definitely go ahead.

Invoicing will only take place once it has been definitively confirmed that the trip will go ahead. Participation becomes final once the participant has paid the full invoice amount to FNL on time.

If the minimum number of participants is not reached, or if compelling organisational circumstances make it impossible for the trip to go ahead, FNL will inform the participants no later than 1 March 2027.

Any amounts already paid will be refunded in that case. There is no entitlement to additional compensation, unless mandatory legal provisions provide otherwise.

Participants

In addition to the facilitators, a minimum of 9 and a maximum of 12 participants can take part in this trail.

FNL may decide to cancel the programme if the required minimum number of participants is not reached.

The final registration deadline for participation is 1 May 2027.

Liability and insurance

FNL makes every effort to organise and deliver the programme with due care. This same level of care applies to the selection and engagement of travel organisations, guides and local partners.

FNL is solely responsible for the programme content. For the travel component, such as transport, accommodation and other travel services, Mandala Travel’s liability provisions and responsibilities apply.

FNL cannot be held liable for damage arising from risks that are inherent in the nature of the programme and that are apparent to the participant. This does not apply in cases of intent or deliberate recklessness on the part of FNL, or where liability may not be limited or excluded under mandatory law.

The participant is required to take out appropriate travel insurance that provides cover for the risks associated with staying in the wilderness and engaging in mountain activities away from the usual routes. This includes, for example, search and rescue costs.

The relevant risks will be explained in more detail during the preparatory Foundation Workshop.

For participation in this programme, it is important that the travel insurance specifically provides cover for:

  • Mountain sports and trekking on established trails; separate climbing insurance is not required as long as no climbing activities take place.
  • Search, rescue and repatriation from mountainous areas.
  • Repatriation from Asia.

FNL strongly recommends that participants take out appropriate cancellation insurance immediately after official confirmation that the trail will go ahead.

The decision on whether the trail will go ahead will be made no later than 1 March 2027, or earlier once the minimum number of participants has been reached. FNL will communicate this decision in writing by email.

FNL is not liable for damage covered by the participant’s own insurance, including travel, health and cancellation insurance.

Each participant is responsible for assessing whether their physical and mental health allows them to take part in the programme. Medical information that is necessary for safety must be shared with the organisation in a timely manner.

Participants must follow the instructions of the guides and facilitators at all times. If participation is considered unsafe or irresponsible for the participant concerned or for the group, FNL and/or Mandala Travel may refuse or terminate participation early.

Cancelation

The cancellation terms take effect once FNL has officially confirmed that the trail will go ahead.

The decision on whether the trail will go ahead will be made no later than 1 March 2027, or earlier once the minimum number of participants has been reached. FNL will communicate this decision in writing by email.

For participants who register after the trail has been officially confirmed, the cancellation terms apply from the moment of registration.

If a participant cancels their participation in the programme, the following cancellation charges apply:

  • Until 15 May 2027: 50% of the programme price.
  • From 15 May 2027: 100% of the programme price.

From 15 May 2027, participation is considered part of the mandatory preparation programme, including physical training and group development. From this date onwards, it is assumed that replacing the participant is no longer reasonably possible and that the full costs and reserved capacity are payable.

Until 15 May 2027, a participant may propose a replacement participant in the event of cancellation. Prior written approval from FNL is required, and the replacement participant must meet all participation requirements.

If the vacated place is fully filled, the cancellation charges will no longer apply, except for any costs already incurred and a reasonable administration fee.

FNL is not obliged to accept a proposed replacement if, in FNL’s opinion, the person is not suitable to participate in the programme.

A cancellation must be submitted in writing by email to info@naturalleadership.eu.

Transfer of participation

A request to transfer participation to another person will, for the travel component, be assessed in accordance with Mandala Travel’s terms and conditions.

For the programme-content component, the proposed replacement must also meet the programme’s participation requirements. FNL may refuse a replacement participant only on reasonable grounds.

For the administrative processing of the transfer of the programme-content component, FNL charges €150 excluding VAT.

Any additional costs charged by Mandala Travel or other parties involved for the transfer or changes will also be payable by the participant.

Prices

The participant enters into the agreement with FNL and will receive an invoice from FNL for the full programme amount.

The following prices apply to this programme:

  • €8,900 excluding 21% VAT for FNL Member for Life members.
  • €9,100 excluding 21% VAT for other participants.

FNL Member for Life community members are former participants of one or more of the following FNL programmes:

  • Wilderness Trail or Quest
  • Year Program of Natural Leadership
  • Reboot Your Life

Amendment of terms and conditions

FNL may amend these terms and conditions before final confirmation of participation where this is reasonably necessary due to changes in laws or regulations, safety requirements, logistical circumstances or changes by Mandala Travel that affect the delivery of the programme.

The most recent version of the terms and conditions will be made available to the participant before final confirmation of participation.
